Expense Entry and Approval 2007

Sample Template

@Pak™ Expenses Summary

@Pak Expense Entry and Approval uses InfoPath 2007 templates to track expenses from entry through approval. Expenses can be charged against any number of User defined Projects, Tasks, Departments, Locations, Cost Accounts, etc; all maintained in the SQL database. Expenses are assigned a distinct Reference number that can be used to retrieve related information quickly.

Expense ApprovalExpenses can be entered as they occur and remain ‘Open’ until they are ‘Submitted’ for Approval. After submission, the expenses can be reviewed and ‘Approved’ or ‘Rejected’. Rejected expenses can be re-opened by the submitter for correction and resubmission. Templates for entering expenses and approving expenses can have different security roles.

Application Uses:

Contractors; Sub-Contractors; Vendors, Suppliers, Time Accounting, Project and Task Labor Tracking; MRO, Expense Reporting by Project and Task

Intranet, Extranet and Internet

All templates in this @Pak come in two versions and have identical features and functions. The Network Version can be deployed to a shared network location or a SharePoint site. The Web Service version accesses the database remotely using a Web Service. This means that all Employees, Suppliers, and Vendors see the data the same way regardless of how and where the templates are deployed.

Filters and Selections

Unlimited rows can be maintained in the database but you do not want all those rows in a view. Rows can be selected using Smart filters by Vendor, Reference Number, Expense Date, Project, Tasks, Location, and Department etc. This makes selection easy and fast! Example: List top 10 Expenses Reports for Vendor ‘ACME’ in descending order by Expense Date.
